ROLE PROFILE
JOB TITLE: Assistant Procurement Manager
REPORTING TO: Projects & Procurement Manager
SUMMARY OF RESPONSIBILITIES
To effectively assist management of the procurement process by planning, monitoring and coordinating, the acquisition of products, services and works that are required periodically. The role is also responsible for ensuring that, the employer obtains quality products for competitive prices in a timely fashion and plays an integral role in ensuring a company sticks to budgets and operates profitably.
PRINCIPAL RESPONSIBILITIES:
- Source for suppliers with the best quality as well as most competitive prices to supply quality goods and services to the Group and its subsidiaries.
- Negotiate for the most competitive prices, terms of delivery and the best quality materials.
- Day to day operations with an emphasis on quick response times to the hotel units.
- Conduct vendors review and audits and ensure database of all Group suppliers and service providers is updated.
- Source for the best medium of transport for commodities, putting into consideration flexibility and timely deliveries.
- Ensure proper record keeping of all procurement processes which should be well maintained and can easily be retrieved.
- Data analysis and reporting including monitoring mechanisms that identifies savings achieved by category and supplier.
- Coordinate the disposal of all obsolete stocks and enforce usage of stock management facility.
- Analyse, monitor business trends and ensure products and services are availability in line with business requirements.
- Ensure compliance of established purchasing policies and procedures. Conduct ongoing reviews of same and implement continuous improvements where required.
- Continuous engagement for new, better products and services and recommend in line with Group Business Operating Procedures (BOPs).
- Development and implementation of strategies for procuring, storing, and distributing goods or services and maintaining stock levels.
- Continuous reviewing of market requirements and expectations as well as ensuring that they are met and exceeded.
- Develop and build relationships with existing suppliers and create relationships with new suppliers.
- Communicate to suppliers the needs and expectations of the company and support the hotels in monitoring supplier performance in line with KPI`s, contractual obligations, and service level agreements.
- Active participation in supply chain meetings, make presentations and reports as guided by the department and Group targets.
- Management of the team ensuring high integrity, performance and productivity.
- Work closely with Finance to ensure a smooth workflow within the procure – to – pay process and lead process and efficiency improvements.
- Assist in the development and achievement of departmental goals and objectives.
- Consult/work with senior managers on specific initiatives as required and undertake any other duties as requested by the senior management.
Person Specification & Attributes
- Preferably holder of a bachelor’s degree in Purchasing/Supply or any related field.
- Possess a profession qualification a must i.e. CIPS
- A minimum of three (3) years working experience in a busy organization preferably in Procurement at supervisory level.
- Experience in computerised procurement systems i.e. ACCPAC
- Commercially focused and a keen eye for detail with strong analytical & numerical skills.
- Ability to work under pressure with minimum or no supervision and meet deadlines in a fast-paced changing environment.
- Excellent interpersonal, communication and organization skills with a high demonstrable level of integrity and confidentiality.
- Maturity, good leadership skills, innovation, resourcefulness, and creativity are important requirements.
- Ability to adapt and keep pace with changing workload demands.
- Exceptional time management and multitasking abilities.
